Privacy Statement for MindCards

Effective Date: 28 June 2025

1. Introduction

MindCards ("the App") is committed to protecting your privacy. This Privacy Statement explains how we collect, use, store, and protect your information when you use our app.

2. Information We Collect

a. Account Information

When you sign up or log in, we collect authentication information via our authentication provider. This may include your email address and a unique user identifier.

b. User-Generated Content

The app allows you to create, edit, and store flashcard collections and cards. This content is stored locally on your device and, if you use cloud features, may be synced with our backend.

c. Photos and Camera Access

If you choose to add images to your flashcards, the app may request access to your photo library and/or camera. Images you select or capture are used solely for generating flashcards.

d. Image Processing by Third Parties

To provide advanced features like AI-powered flashcard generation from images, the App securely transmits the images you select to Google for processing. This is a necessary step to perform the image recognition and text extraction required for the feature.

We do not store your images on our servers after the processing is complete. The handling of your images by Google is governed by Google's Privacy Policy. We encourage you to review their policy to understand how they manage data.

e. Usage Data

The app may collect anonymized usage data (such as feature usage and error logs) to improve the app's performance and user experience. No personally identifiable information is included in this data.

3. How We Use Your Information

  • To provide core app functionality: Your flashcards, collections, and user progress are stored and managed to enable your learning experience.
  • To provide advanced features: Images may be sent to Google for processing to enable features such as AI-generated flashcards or text extraction.
  • To personalize your experience: We use your account information to ensure your data is kept separate from other users.
  • To improve the app: Aggregated, anonymized usage data may be used to identify bugs and improve features.

4. Data Storage and Security

  • Local Storage: Most of your data (collections, cards, progress) is stored locally on your device. If you log out, your data remains on the device unless you delete the app or clear app data.
  • Cloud Storage: If you use cloud features, your data may be securely stored on our backend servers and is protected by industry-standard security measures.
  • Third-Party Processing: When you use features that rely on image analysis, your selected images are securely sent to Google for processing. By using these features, you acknowledge that Google will process your images in accordance with its Privacy Policy.
  • No Third-Party Sharing for Marketing: We do not sell or share your personal data with third parties for marketing purposes.

5. Your Choices

  • Photo Permissions: You can manage access to your photo library and camera at any time through your device's settings. The app will only access these resources with your explicit permission.
  • Account Deletion: You can initiate the deletion of your account and all associated data directly from within the app's settings screen. Once initiated, this action is irreversible and will permanently remove your account information and cloud-synced content from our servers. For any assistance, you may still contact us at support@codehub.nl.
  • Data stored in the cloud is retained as long as your account is active. Following account deletion, your data is permanently removed from our servers and backups within 30 days.

6. Children's Privacy

If we learn that we have collected personal information from a child under 13 without verification of parental consent, we will take steps to delete that information as quickly as possible.

7. Changes to This Privacy Statement

We may update this Privacy Statement from time to time. For material changes, we will notify you through the app or via the email address associated with your account. For all other changes, the updated policy will be posted within the app and on our website. Your continued use of the app after such updates constitutes your acceptance of the new policy.
